Terms of Service
Last updated: 16 Oct 2026
These terms are an agreement between you and Wooke Technologies Ltd, RC 9251478, of No 5 Bobas Street, Anaye, Ikere Ekiti, Ekiti State, Nigeria ("LodgeDesk", "we", "us"). They apply when you create an account or use LodgeDesk at lodgedesk.com.ng.
By creating an account, you confirm that you have read these terms and that you are authorised to accept them for your business.
1. What LodgeDesk does
LodgeDesk is software that helps lodges, serviced apartments, guest houses and similar businesses create invoices, record payments, issue receipts and, where enabled, collect payments online from guests.
LodgeDesk is not a bank, a payment service provider or a party to your agreement with your guests. Online payments are processed by Paystack Payments Limited ("Paystack"). We do not hold your money.
2. Your account
- You must be at least 18 and able to enter into contracts on behalf of your business.
- The details you give us, including your business name, bank details and contact information, must be accurate and kept up to date.
- You are responsible for everything done through your account, including by staff you invite. Keep login details private and remove staff access when someone leaves.
- Tell us straight away at support@lodgedesk.com.ng if you think your account has been accessed without permission.
3. Free trial
- New businesses get a free trial of 4 days with full access. No card is needed.
- When the trial ends, your account moves to the Pay as you go plan unless you choose a paid plan.
- We may limit trials to one per business.
4. Plans and fees
| Plan | Price | What is included |
|---|---|---|
| Pay as you go | No subscription fee | 1 location, 2 staff logins, unlimited invoices, up to 15 manually recorded payments per calendar month. A LodgeDesk fee of 1% applies to each online guest payment, capped at ₦1,500 per payment. |
| Standard Monthly | ₦10,000 per month | 1 location, 2 staff logins, unlimited invoices and manual payments. No LodgeDesk fee on online payments. |
| Standard Annual | ₦100,000 per year | Same as Standard Monthly. |
| Extra location | ₦4,000 per month or ₦40,000 per year | 1 additional location and 2 additional staff logins, on Standard plans only. |
- Prices are in Naira and include any applicable VAT unless stated otherwise.
- Subscriptions renew automatically at the end of each billing period until you cancel.
- Extra locations added during a billing period are charged a prorated amount for the time left in that period, then renew with your plan.
- If a renewal payment fails, we will notify you and allow a 7-day grace period. After that, your account moves to Pay as you go and locations beyond the first become read-only. We do not delete your records because of a failed payment.
- We may change our prices. We will give you at least 30 days' notice by email, and changes apply from your next renewal.
5. Online payments from guests
When you enable online payments:
- You must complete Paystack's onboarding and provide a valid Nigerian bank account in your business's name or a name you are authorised to use.
- Guest payments are settled by Paystack directly to your bank account through a subaccount linked to LodgeDesk. Paystack's own fees are deducted from your share.
- On Pay as you go, the LodgeDesk fee is deducted automatically from each online payment before settlement.
- Paystack's terms, settlement times and limits apply. We are not responsible for delays, holds or reversals made by Paystack or your bank.
- You can choose to pass the processing fee on to guests. If you do, it must be shown clearly on the invoice.
- You are responsible for disputes and chargebacks raised by your guests, including any fees charged by Paystack.
6. Your responsibilities to your guests
You remain fully responsible for your relationship with your guests, including:
- the accuracy of every invoice and receipt you issue, including prices, dates, taxes and discounts;
- charging and paying any taxes that apply to your business, such as VAT and state consumption or hotel occupancy taxes;
- your own booking, cancellation and refund policies, and issuing any refunds to guests;
- having a lawful basis to collect and use your guests' personal information, and telling them that you use LodgeDesk to manage invoices and payments.
7. Acceptable use
You must not use LodgeDesk to:
- issue false, misleading or fraudulent invoices or receipts;
- collect payments for goods or services you do not provide, or for illegal activity;
- send spam or messages guests have not agreed to receive;
- try to access other businesses' data, interfere with the service, or reverse engineer the software;
- break any law, including anti-money-laundering and data protection laws.
We may suspend or close accounts that break these rules, and we may report suspected fraud to Paystack and the relevant authorities.
8. Your data
- You own the data you put into LodgeDesk, including guest and invoice records.
- You give us permission to store and process that data only to run, secure and improve the service, as described in our Privacy Policy.
- For guest data, you are the data controller and we act as your data processor. We process guest data only on your instructions, keep it confidential and secure, and help you respond to guests' data requests.
- You can export your invoices and payments at any time while your account is active, and for 30 days after it closes.
9. Availability and changes to the service
We work to keep LodgeDesk available at all times, but we do not guarantee it will be uninterrupted or error-free. We may carry out maintenance, and we may add, change or remove features. If we remove a feature you pay for, we will tell you in advance.
10. Intellectual property
LodgeDesk, its software, logo and design belong to us. These terms give you the right to use LodgeDesk for your business while your account is active. They do not transfer any ownership to you. Your business name and logo remain yours.
11. Cancelling and closing your account
- You can cancel a paid plan at any time in Settings > Billing. Cancellation takes effect at the end of your current billing period. See our Refund Policy for details.
- You can ask us to close your account at any time by emailing support@lodgedesk.com.ng.
- We may suspend or close your account if you break these terms, do not pay fees owed, or if we are required to by law or by Paystack. Where reasonable, we will warn you first and give you a chance to fix the problem.
- After closure, we keep records we are required to keep by law (see the Privacy Policy) and delete the rest.
12. Liability
- LodgeDesk is provided "as is". We do not promise that it will meet every need of your business.
- We are not liable for indirect losses, such as lost profits, lost bookings or damage to reputation.
- We are not liable for losses caused by Paystack, banks, internet or mobile network providers, or by errors in information you enter.
- Our total liability to you for any claim is limited to the fees you paid us in the 12 months before the claim arose.
- Nothing in these terms limits liability that cannot be limited under Nigerian law, including liability for fraud.
13. Indemnity
You agree to cover us against claims, losses and costs arising from your breach of these terms, your dealings with your guests, or invoices and payments you create through LodgeDesk.
14. Changes to these terms
We may update these terms. We will email you at least 14 days before material changes take effect. If you keep using LodgeDesk after that, the new terms apply. If you do not agree, you can cancel before they take effect.
15. Governing law and disputes
These terms are governed by the laws of the Federal Republic of Nigeria. If a dispute arises, we will first try to resolve it with you in good faith. If it is not resolved within 30 days, either party may refer it to arbitration in Lagos under the Arbitration and Mediation Act 2023, or to the courts of Lagos State.
